How to organize a surprise video for Dad's 80th: a 4-week timeline
How to organize a surprise birthday video with messages from friends and family for Dad's 80th, week by week, from the first ask to playing it at the party.
Start about four weeks before the party. Week one: set up a private page and ask people. Week two: nudge the quiet ones and approve what arrives. Week three: choose the song and cut the trailer. Week four: check it, render it, and play it after the cake. Dad sees nothing until you say so.
This guide walks through each week in order. It uses KeepSakePage, which gathers video, voice notes, written notes and photos from everyone who loves him and cuts them into a short movie-trailer-style video for the party. It is free during the beta. You ask for an invite and we send a code.
How far ahead should I start a surprise video for Dad's 80th?
Give it three or four weeks. That leaves time for a reminder to the people who haven't replied yet. Late arrivals can still be folded in without starting over.
If the party is closer than that, start today. The trailer takes an evening, but the messages take time to arrive.
Week 1: what do I do first?
Set up the page and make your list.
- Create the page. Pick the address, the occasion and Dad's name.
- Open Settings. Add a portrait, the informal name ("Dad") and the headline name (his full name), and set the party date.
- Add questions if you like. They appear one at a time above the camera and help people who freeze. Leave them blank for the standard ones.
- Write your list under Invites. Add names one by one, or paste a list from a spreadsheet: a name, then an email or phone number on each line.
Nothing anyone sends is visible to anyone but you until you publish, and the page stays private until you reveal it.
Week 1: how do I ask people to send messages?
Each name on your list has WhatsApp, text, email and copy buttons, with the message already written. You can edit the first ask and the friendly nudge under the wording tab. Use your own words and keep it short.
Say three things in the ask:
- It is a surprise, so please keep it quiet.
- It takes a couple of minutes, on their own phone.
- Here is the date you need it by.
Guests do not need an app or an account. They record in the browser from your link.
What about relatives who won't use a link?
Every page comes with a phone number. They call, hear Dad's name in the greeting, and talk after the tone. Their message lands on the page like any other, already transcribed and ready for the trailer.
Give the number to the aunt who has never recorded a video, the old friend overseas, and anyone who says "just tell me what to say."
Week 2: how do I keep track of who has sent something?
Under Invites, a name flips to Submitted when a message arrives under the same name. The email button sends the ask to everyone who has an email and hasn't contributed yet. It sends once per 20 hours, and replies come to you. Every reminder carries an unsubscribe link, and anyone who unsubscribed is skipped.
Everything arrives pending. In Review you can:
- Approve a message.
- Reject something that doesn't belong.
- Star a message to put it first.
- Fix a name or caption.
- Use Hold back for something Dad shouldn't see yet. It stays in your archive but stays out of the trailer and the reveal.
Fix names and relationships now. They are printed on screen under each clip, and a typo caught late means a re-render.
Week 2: how many messages do we need?
There is no minimum. A dozen messages make a lovely trailer. More people means more variety, not a longer video, because the director picks the best moment from each.
If the replies are slow, send the friendly nudge to the people who haven't replied yet.
Week 3: how do I put the video together?
Do these in order:
- Upload the song. Song one plays under the trailer. Songs two and three play on the reveal page afterwards.
- Set the order. Group messages ("From the grandkids", "College friends") in the reveal order view. That order is the story of the full reveal.
- Pick a target length. Three and a half minutes is a good length for a party. The length is yours to choose.
- Run the AI director's cut. It listens to every recording, picks the moment in each, the line in each note, and the running order. It runs in the background, so you can leave the page.
- Read its notes. Each row says why that moment was chosen. Anything it left out is switched off and flagged. Turn it on if it belongs.
- Adjust by hand. Trim a clip by ear, or tap the phrases you want in By phrase. Aim for complete thoughts, and skip the "is this on?" opener.
You can also steer it in plain words, the way you would with an editor: "Put the grandkids first and end on Mom." Nothing changes until you apply it, and you get one undo.
Week 4: how do I check it before the party?
- Save the trailer. The reveal and the renders use the saved plan.
- Watch the preview. A quick preview shows the cut as the file will have it.
- Check the length against your target. If it runs over, Fit to length trims it.
- Look for late arrivals. Messages approved after the cut was built appear in a box above the clips. Add them and they slot in before the closing clip.
- Render the trailer. It becomes an MP4 that plays on a TV with no wifi. Rendering takes about a minute per four minutes of cut, and you get an email when it is ready.
- Run Party prep on the phone or laptop you will play from.
If Dad might peek, you can put a password on the link.
What happens at the party?
Play the trailer full screen on the TV, after the cake. Then hand him the link. It opens the complete page: every message, every photo, the trailer, and a downloadable archive. It is his for good.
The full reveal is a different film. It plays every message start to finish, so it takes minutes per message. Many families save it for the next morning rather than the night itself.
You can also make a short vertical teaser to share with everyone who couldn't be there.
Questions people ask
Will Dad see anything before the party?
No. You approve every message, the page stays private, and he sees nothing until you reveal it.
What if Dad won't use an app, or his friends won't?
Nobody needs an app. Guests use a link in the browser, or call the page's phone number and leave a message after the tone.
Can I leave out a message?
Yes. Hold back keeps an approved message out of the trailer and the reveal. It stays in your archive.
What does it cost?
It is free during the beta. You ask for an invite and we send a code.
Can a message be fixed after it is sent?
Contributors can fix their own typo for 24 hours after sending, from the link on their thank-you screen.
Do I need to make the video myself?
The director makes the first cut from your approved messages. You adjust it, and you stay in charge of what goes in.
If you'd like the short version of all this, the 80th birthday page shows the three steps: collect, cut, and play it at the party.
